Join the Tour applications

An application may include your first name, last name, gender, email address, telephone or WhatsApp number, country, tennis level, club or tennis background, playing hand, clothing sizes, selected event, referral source, optional message, website language or locale, consent record, submission identifier and submission timestamp.

Contact enquiries

A contact enquiry may include your first name, last name, email address, subject and message.

QR code and community registration

The /register form collects first name, last name, email address and telephone number. First name, last name, email address and acknowledgement of this notice are required. The telephone number is optional; registration can be completed without it. The separate marketing choice is optional. Registration records include the event, date and time, registration identifier and source (such as QR Code). The form sends your acknowledgement and marketing choice with your details. The version of this notice is shown at the end of this page. The telephone number is collected for follow-up on your registration or requests; it is not used for promotional calls, SMS or WhatsApp messages under the email marketing choice.

Technical and security data

When a form is submitted, limited technical request data, including an IP address and request metadata, may be processed temporarily for security and abuse prevention.

The website does not intentionally use analytics, advertising or profiling cookies, and the application does not currently use localStorage or sessionStorage. No non-essential tracking technologies are intentionally deployed, so the website does not currently require a cookie-consent banner. If analytics, advertising or other non-essential tracking technologies are introduced in the future, this policy and the consent mechanism will be updated before they are activated where required.

• To process participation and event applications, organise and manage Golden Era Sports Tour events, and contact applicants about their selected event.
• To respond to enquiries and requested communications, including partnership, media and collaboration requests.
• To record contacts submitted voluntarily through event QR codes or the registration page, manage registration and respond to related requests. Registration alone does not authorise promotional communications or constitute an event booking.
• Only with your separate, optional consent, to send email communications about Golden Era Sports Tour, future events, invitations and initiatives.
• To operate, secure and protect the website and its forms, including preventing repeated or abusive submissions and complying with applicable legal or administrative obligations.

Data necessary to evaluate and process a request to participate in an event is processed to take pre-contractual steps at your request and, where a contractual relationship is established, for the performance of that relationship (Article 6(1)(b) GDPR). Community contact registration and general enquiries are processed on the basis of the company's legitimate interest in managing voluntarily submitted contacts and responding to requests (Article 6(1)(f) GDPR). This does not extend to promotional communications, which rely on separate consent (Article 6(1)(a) GDPR). The required acknowledgement in the Join and registration forms documents that you have read this notice; it is neither marketing consent nor general consent to all processing. Security and abuse prevention rely on the legitimate interest in protecting the website and its forms. Processing required by law relies on Article 6(1)(c) GDPR.

You may withdraw email marketing consent at any time, free of charge, by writing to info@goldenerasportstour.com. Withdrawal does not affect the lawfulness of processing carried out before withdrawal or prevent the handling of requests you make independently of marketing.

The website uses HTTPS, server-side validation and anti-abuse protections for its forms. Access to personal information is limited to authorised personnel and service providers where necessary to provide their services.

Information may be accessed by authorised company personnel and the service providers needed for the relevant purpose: Vercel for website hosting and infrastructure, including ordinary request metadata and platform logs; Resend / Plus Five Five, Inc. for transactional delivery of contact and Join form submissions; and Google, through Google Sheets to store registration contacts and Google Apps Script to receive and write them. Registration details are sent to Apps Script by the Next.js server, not directly by the browser. These providers are used for the purposes described in this notice; personal information is not sold.

Registration involves sending your details to Google Sheets through Google Apps Script; the website also uses Vercel for hosting and Resend for transactional email. These providers may process data outside the European Economic Area according to the account, service and infrastructure used. Processing locations and any applicable transfer safeguards depend on the arrangements for those services. No exclusive storage in Europe or specific transfer safeguard is asserted here without confirmation that it applies to the account used. You may request information about the arrangements actually applicable to a transfer at info@goldenerasportstour.com.

Contact enquiries are normally retained for no longer than 12 months after the last relevant communication, unless longer retention is required for a legal claim or obligation. Event and Join applications are retained for the time necessary to organise the selected event and normally no longer than 12 months after that event, unless a contractual or administrative relationship requires longer legal retention. For the new QR code contact database, the retention criterion is no longer than 12 months after registration or the last direct, relevant interaction initiated by you. Email marketing use ends on withdrawal of consent and, in any event, follows the same 12-month criterion from consent or your last direct interaction; merely sending a promotional email does not restart this period. Records no longer needed are to be reviewed and deleted by authorised personnel; no automatic deletion system is currently implemented for this database. Limited evidence of consent or withdrawal may be retained only as necessary to meet legal obligations or defend legal claims, without continued marketing use. In-memory security and rate-limit records have an approximately 10-minute validity window; physical removal depends on later requests or the server instance ending, rather than a scheduled deletion process. Administrative or contractual records follow the periods required by applicable law.

Where applicable under the GDPR, you may request access, rectification, erasure, restriction or portability of your personal information. You may object to processing based on legitimate interests, and to direct marketing at any time. You may withdraw consent at any time. Requests are normally answered within one month; where an extension is permitted, you will be informed of the reasons. You may lodge a complaint with a competent supervisory authority, including the Italian Garante per la protezione dei dati personali.

Submitting a contact, Join or registration form does not automatically subscribe you to marketing. The registration form offers a separate, unchecked and optional choice to receive Golden Era promotional emails about events, invitations and initiatives. Leaving it unchecked does not prevent registration. This choice does not authorise telephone, SMS or WhatsApp marketing, which would require a separate, specific consent. The registration form records your choice; it does not itself send promotional emails or activate an external mailing list.
